Student Room Setup for Facilitated Sessions

Students often join VCE sessions together in a shared room, rather than individually. This setup enables active discussion, better engagement, and real-time facilitation.

Written by VCE Support

Recommended Setup

Students should be:

  • In one physical room

  • Viewing the session on a shared screen (TV, projector, or large monitor)

  • Able to hear clearly through speakers

  • Able to communicate back via shared microphone

Room Requirements

To ensure a smooth session:

  • Stable internet connection (go to: https://virtualce.app/ and review bottom of the page for a quick check)

  • Large display screen (visible to all students)

  • Speakers with clear audio output

  • Seating arranged so all students can see and hear comfortably

For optimal audio quality and participation, students should ideally sit in a semi-circle around the microphone. This ensures that everyone is within range and can be heard clearly when speaking. The setup also encourages discussion and makes it easier for the facilitator to engage all participants, rather than having voices lost from the back of the room.

Facilitator Setup

The facilitator should:

  • Be physically present in the room with the students

  • Be able to:

    • Ask questions

    • Relay or enable questions to the clinician

Student Expectations

Students are expected to:

  • Be present and attentive

  • Participate in discussion

  • Share observations and answer questions

  • Engage with the session (not passively watch)

Why This Setup Matters

This setup ensures:

  • Better engagement — students learn from each other

  • Interactive learning — facilitator can guide discussion in real time

  • Improved focus — reduces distractions from individual devices

  • Higher-quality sessions — closer to a real teaching environment

Best Practice

Treat the session like a live teaching environment, not a webinar.

Common Pitfalls to Avoid

  • Students joining individually without facilitation

  • Poor audio setup (students can’t hear clearly)

  • No facilitator present in the room

  • Passive viewing without interaction
